Advanced PDF editor
WorkZone includes an embedded PDF reader called PDF Viewer which is the default PDF reader used to display documents as PDF files in WorkZone Client, for example when a user clicks Preview in the Documents detail tab on the case details page.
WorkZone also includes a more advanced PDF option called Advanced PDF. Advanced PDF uses the Apryse (previously known as PDFTron) engine to display, edit and save changes to PDF documents. The Apryse engine, a third-party PDF reader and editing program, contains a large set of user-enabled options for annotating, redacting and editing PDF documents.
Advanced PDF features
Advanced PDF enables WorkZone users to do the following on a PDF document:
- Add advanced annotations such as highlights, notes, callouts, apply text formatting such as striking out, underlining or marking text, adding text boxes and free hand drawings.
- Search for and mark terms for redaction.
- Preview text marked for redaction before applying the redactions as well as sending the redaction-marked document for review before redaction is applied.
- Rotate, move or delete pages.
- Insert new pages to or extract existing pages.
- Add, remove or edit bookmarks.
- Add a watermark.
Separate Advanced PDF licenses are required to annotate, redact and edit PDF documents. A free version of Advanced PDF is available and installed by default however the free Advanced PDF can only be used to read PDF documents.
Advanced PDF Licenses
The Advanced PDF license consists of three tiers. The first tier is installed by default and is free of charge. The second tier includes annotation and redaction features while the third tier contains annotation, redaction and advanced PDF editing features. Licensed versions of Advanced PDF must be enabled in WorkZone Configurator while the free version is enabled by default.
PDF Viewer is still available by default and enabled for use.
Configure the Preview pane
Both the Advanced PDF and PDF Viewer panes are opened from the Preview pane. By default, the Preview pane contains the PDF Viewer pane, which is used to display PDF documents out-of-the-box. The Preview pane must be configured to also display the Advanced PDF pane and you can make Advanced PDF the default PDF reader/editor by dragging it above the PDF Viewer pane when adding it to the Preview pane.
You can also remove the PDF Viewer pane from the Preview pane, making Advanced PDF the only PDF reader/editor available.
Redaction search rules
Redaction search rules make it easier for users to search for and mark specific text snippets for redaction, for example email addresses, web addresses, CPR numbers, and CVR numbers (the four search rules provided by default.)
In WorkZone Configurator > PDF > Search rules, system administrators can create a set of customized search rules which users can apply to their searches when using the redaction options in Advanced PDF.
Creating customized own search rules helps users search for other types of specific text snippets that are relevant to their organization, workflows or legislation such as social security numbers, titles, specific addresses, phone numbers or other texts that are to be redacted.
Search rules are formulated using regular expressions and can be used by all users once a rule has been saved and WorkZone Client refreshed.
The search rules are only available to users if Advanced PDF is used to search for text to mark for redaction in PDF documents.
