WorkZone modules and services
WorkZone user interface
The WorkZone user interface covers core WorkZone modules that are included in the default installation of WorkZone as well as add-on modules that must be activated and configured after installation of WorkZone. The core modules enable users to perform day-to-day operations on the WorkZone database as well as configure and set up WorkZone features and functionality.
User interface | Description |
---|---|
Client |
WorkZone Client is the main user interface for day-to-day WorkZone operation and is a browser-based, feature-rich, configurable web-application that enables users to create, maintain, and manage cases, documents, contacts, and processes. |
Configurator |
WorkZone Configurator is a browser-based web-application that enables system administrators to set up, configure, and customize the WorkZone application to align with requirements and specifications of the organization as well as enable or disable key features and program behavior. |
Mobile |
A mobile client in the WorkZone case and document management suite. WorkZone Mobile allows the user to work with tasks, meetings, cases, and documents from mobile devices. WorkZone Mobile runs on both iOS and Android platforms. |

Explorer |
WorkZone Explorer enables users to manage multiple cases and documents from the Microsoft File Explorer. Common operations on cases and documents, such as creating and renaming cases and documents, can be performed in WorkZone Explorer. WorkZone Explorer uses the WebDAV (Web Document Authoring and Versioning) protocol to access and edit cases and documents. The WebDav protocol is an open standard protocol that enables editing of content over HTTP or HTTPS connections. Other document editors that support the WebDAV protocol (for example Microsoft Office or Notepad) can be used to open, edit and save documents directly into WorkZone. |
WorkZone 365 |
A built-in WorkZone plugin for Microsoft Office 365 which enables users to perform day to day operation of WorkZone from within Microsoft Office 365. |
WorkZone services
WorkZone services are a collection of applications and programs that provide users and system administrators with specific and detailed options for performing specialized tasks, such as collaborating across WorkZone, generating PDF versions of existing documents, digitizing business processes, and much more.
Service | Description |
---|---|
Process and workflow management |
Enables users to manage WorkZone documents in a workflow and automate processes with documents. Users can start processes such as hearings, submissions, or distributions from WorkZone Client or Microsoft Outlook. Users can track their own or their unit's progress in a process overview or a dashboard that provide a snapshot of the state of all ongoing and closed processes. |
Adaptive process management |
Allows an organization to digitize business processes and maintain the flexibility required for complex case management. An organization can model processes as advanced checklists or as processes based on rules and data defined by the organization. The steps in a business process can be defined as required or optional and can be executed automatically without requiring an employee to act manually. |
Chat in context |
An internal communication tool in WorkZone Client and WorkZone Mobile which enables WorkZone users to collaborate and communicate on specific cases or documents as well as add or remove case and document references. WorkZone Chat can also be used to communicate more informally with other WorkZone users without association of a case or document. |
AI - Suggest redaction |
A module for WorkZone Client that offers automated detection and annotation of personal identifiable information in PDF documents. AI - Suggest redaction uses AI-based language models provided by KMDTxt and trained through machine learning to recognize sensitive and personally identifiable data. Currently AI - Suggest redaction can recognize identifiers of people, locations (addresses and placenames), organizations, CPR numbers, phone numbers, email addresses, credit card numbers, and passport numbers, with more identifiers to be added in future releases. AI - Suggest redaction module requires a licensed version of Advanced PDF. |
Access rights, security and logging |
Access rights enable users to define Read and Write access on cases, documents, contacts, meetings, and actor sequences. The access rights determine which users can view or edit these elements throughout WorkZone including WorkZone Mobile, WorkZone Client, WorkZone 365 and WorkZone for Office. Access rights are set up and maintained in Microsoft Active Directory and distributed to WorkZone by using Active Directory replication. |
PDF / reporting services |
The WorkZone PDF services convert existing documents to PDF format. WorkZone PDF can convert documents to either the default PDF format (PDF v1.7) or to the PDF/A format (PDF/A-3b). WorkZone PDF can be used as a standalone application or in combination with other WorkZone products. The PDF / Reporting services can function as on-demand services or as batch services. |
Open API |
The open WorkZone API enables users to access data manipulation and WorkZone service interaction. The API services are based on general industry standards (OData Services, PDF, Process and WebDAV) thereby enable seamless integration to applications supporting these standards. |
Configuration Export/import |
WorkZone Export/Import is a tool that enables system administrators to transfer a WorkZone configuration from one WorkZone instance to another. |
Active Directory Replicator |
The WorkZoneActive Directory Replicator is a tool that replicates the Active Directory structure into WorkZone and enables system administrators to only use Microsoft Active Directory as a single point of entry to create and maintain WorkZone users and user rights, including users, organizational units, WorkZone access rights, and security groups/codes. |
SmartPost |
SmartPost enables users to send messages electronically by digital mail (Digital Post) to the Danish e-Boks or generate physical letters for remote print to Strålfors or KMD Print Center through KMDOneTooX. Users can also receive replies to messages from case parties in the organization’s digital mailbox, which are then saved on cases in WorkZone |
Mass dispatch |
Mass dispatch enables users to submit large batches of direct mail letters to be sent to WorkZone contacts via the Danish e-Boks. Each letter will be populated with specific information relevant to a particular contact as well as general information for all recipients. |
OCR |
During scanning, documents are originally scanned as images. OCR (Optical Character Recognition) identifies letters in the document scans and converts the letter image to actual digital letters, enabling users to search the scanned document text as well as copy and manipulate the text layer of the documents. OCR contains language packs that define letters for each specific language and enable recognition and conversion of specific languages. |
Content Server |
A server-side collection of applications used to manage communication with and integration between various WorkZone applications, services, and WorkZone databases, as well as manage user authentication and application logging. WorkZone Content Server is not a WorkZone service as such, but is a necessary part of a WorkZone installation, architecture, and work infrastructure as it hosts and provides the WorkZone services used by the various modules. |
WorkZone 3rd party modules
3rd-party modules provide integration options that are not considered part of the core functionality of WorkZone, or integrate with other 3rd party products (Lasernet). All add-on modules are installed during a standard installation of WorkZone but must be activated and configured after installation.
Module | Description |
---|---|
Interact |
WorkZone Interact helps users design, create, and maintain digital forms which can be used by external users to enter data into the WorkZone database. The Interact connector is a service workflow that connects to WorkZone Interact and monitors if data is submitted from Interact forms. If this is the case, the workflow retrieves the data and performs actions in WorkZone. |
Quality Center |
WorkZone Quality Center can help an organization improve its data discipline. The Quality Center captures and processes sensitive data that is not properly classified or protected. WorkZone Quality Center analyzes and processes data and generates observations and results based on a set of custom rules defined by the organization. The Quality Center also contains an administration tool so system administrators can configure the Quality Center for analysis. |
Advanced PDF |
Advanced PDF offers to WorkZone users enhanced annotation tools, such as highlights, notes, callouts, comments, watermarks, moving or deleting pages, applying basic text formatting, adding text boxes or free hand drawings, as well as redacting the text (including searching for and marking terms for redaction, previewing or sending the redaction-marked document for review, and applying the actual redaction). A free version of the Advanced PDF, that can be used to read PDF documents, is installed by default. Separate Advanced PDF licenses are required to annotate/redact and edit PDF documents. |
WorkZone Integrations
The following integrations are utilized by WorkZone modules and 3rd party applications.
Integration | Description |
---|---|
CPR/CVR |
WorkZoneContact lookup and synchronization (CPR/CVR) is a series of applications that manage automatic import and update of CPR (person) or CVR (company) contact data into the WorkZone database from the Danish CPR Office as well as direct look-up and import of CPR and CVR data from the Danish CPR Office during normal operations in WorkZone Client. |
Serverskan |
Serverskan is a WorkZone application for mass document scanning and registration (automatic or manual). |
E-Boks |
E-Boks is a Danish online mailbox which is used to receive digital mail from private companies such as banks, insurance companies, financial institutions, as well as from public authorities if a user's Digital Post account is synchronized with the user's E-boks account. By collecting as many venues as possible, Danish citizens are given a single point of entry to access digital communications from a large multitude of parties. Receipt of mail in one's digital post account and E-boks is considered legally binding in Denmark and can have serious implications if not acted upon. |
NgDP |
Next-Generations Digital Post is the next version of the Danish Digital Post and enables public authorities to more securely communicate with Danish citizens and companies. Public authorities can also send messages to other public authorities, which was not possible in the previous version of Digital Post. |
