Configure process deadlines

As of WorkZone 2024.5, you can configure deadlines for processes. You can specify a default deadline that will be suggested as process deadline in the Start process dialog when users start one of the following processes:

  • Basis submission

  • Extended submission

  • Advanced submission

  • Hearing

  • SmartPost

  • Mass dispatch

  • Extended distribution

  • Ministerial

  • Parliamentary question

WorkZone comes with default deadlines for all the processes (excluding service workflows). The first time the users open in the Start process dialog, the Deadline field is prefilled with the default deadline.

The default deadlines are listed below. The default time for all processes is 00:00.

If users click Delete in the Deadline field, the process will have no deadline.

You can configure the default deadlines to align with your organization's requirements.

Configure deadlines

A deadline is calculated based on a duration unit, a default duration, and a default time. Users can change the default deadline in the Start process dialog before starting a process.

  1. In WorkZone Configurator, go to Process > Processes.
  2. Point to the process you want to define a default deadline for, and click Edit process.
  3. Expand the Deadline section, and fill in the following fields:
    • Duration unit - The unit of the default duration. You can select:
      • M, Minutes

      • H, Hours

      • D, Days

      • A, Working days (weekdays excluding Saturdays and Sundays).

      • S, Working days excluding holidays (weekdays excluding Saturdays and Sundays and Danish holidays).

        Note: In this release, only Danish holidays are supported.
       
    • Default duration - The default duration in number of days, hours, minutes, etc. depending on the duration unit that you have selected.

      Note: If you enter 0 in the Default duration field, the default deadline in the Start process dialog will vary depending on the selected duration unit:
      • Days, Working days, Working days excluding holidays - The deadline will be either today or the first available day depending on the selected unit and whether the selected default time has passed or not.

        For example, if the unit is set to Days and the default fault time is set to 10:00, and the user starts a process at 13:00, the deadline will be set to the following day at 10:00.

      • Hours/Minutes - The deadline will be set to today's date and current time.

    • Default time - The default time in hours and minutes. You can only select a default time if the duration unit is Days, Working days, or Working days excluding holidays.

      Example: If you configure a process with:
      • Duration unit: D, Days

      • Duration: 1

      • Default time: 22:15

      It means that if you start the process on October 10, 2024, the Deadline field in the Start process dialog will be prefilled with 11/10/2024 22:15.

Use default time only

You can choose to only set a default time deadline. Turn on Use default time only, and enter a time. The deadline field in the Start process dialog will show the time only. If you turn on Use default time only but do not specify a time, the time will be set to the default time, which is 00:00.

No default deadline

If you do not want to set a default deadline for a process, turn on Use default time only, and clear the Default time field. The Deadline field in the Start process dialog will then be empty, and it is up to the user to select a deadline. When the user selects a deadline, the time will be prefilled with the default time 00:00.

Note: If you have specified a default deadline for the Extended distribution process, it will be ignored when the process is started automatically as part of the distribution phase of the Ministerial and Parliamentary Question phase processes. Only the default deadline of the phase process applies.
