Search rules
Prerequisite:
- To create, edit and delete redaction search rules, you must be assigned the DATADM access code.
About redaction search rules
Redaction search rules make it easier for users to search for and mark specific text snippets for redaction, for example email addresses, web addresses, CPR numbers, and CVR numbers (the four search rules provided by default.)
In WorkZone Configurator > PDF > Search rules, system administrators can create a set of customized search rules which users can apply to their searches when using the redaction options in Advanced PDF.
Creating customized own search rules helps users search for other types of specific text snippets that are relevant to their organization, workflows or legislation such as social security numbers, titles, specific addresses, phone numbers or other texts that are to be redacted.
Search rules are formulated using regular expressions and can be used by all users once a rule has been saved and WorkZone Client refreshed.
The search rules are only available to users if Advanced PDF is used to search for text to mark for redaction in PDF documents.
Prerequisite: In addition to creating the search rules, a number of additional prerequisites must be fulfilled for users to be able to utilize the search rules for redaction.
- The Annotations and redaction license to Advanced PDF must be purchased separately.
- The Redaction feature setting must be enabled in WorkZone Configurator > Global > Feature Settings > Client > Advanced PDF.
- In WorkZone Client, the Preview pane must configured to make the Advanced PDF pane available to users.
Create an Advanced PDF search rule
- In WorkZone Configurator > PDF > Search rules, click
Add to open the Create Search rule form. - In the Create Search rule form >
- Name field, enter a unique name of the search rule. This field is mandatory.
- Description field, enter a description of the search rule. This field is mandatory.
- Search rule field, enter a regular expression that will function as the search criteria when used to search the PDF document. This field is mandatory.
- Case-Sensitive check box, enable this option to make the search rule case sensitive. This option is by default disabled, meaning the search rule is by default not case sensitive.
- In the Create Search rule form > Localize name group >
- Name (da-DK) field, enter the name of the search rule which will be displayed when the user selects to display the WorkZone Client user interface in Danish. If this field is empty, the value in the Name field is used.
- Name (de-DE) field, enter the name of the search rule which will be displayed when the user selects to display the WorkZone Client user interface in German. If this field is empty, the value in the Name field is used.
- Name (en-GB) field, enter the name of the search rule which will be displayed when the user selects to display the WorkZone Client user interface in English. If this field is empty, the value in the Name field is used.
- Click Create to save the search rule and close the form.
Edit an Advanced PDF search rule
- In WorkZone Configurator > PDF > Search rules > right pane, hover the mouse over the
preview button on the rule you want to edit and click
Edit to open the Search rule form for the selected search rule. - In the Search rule form for the selected search rule:
- Description field, enter a new description of the search rule. This field is mandatory.
- Search rule field, change the regular expression that will function as the search criteria when used to search the PDF document. This field is mandatory.
- Case-Sensitive check box, enable this option to make the search rule case sensitive. This option is by default disabled, meaning the search rule is by default not case sensitive
- In the Search rule form for the selected search rule > Localize name group >
- Name (da-DK) field, enter the name of the search rule which will be displayed when the user selects to display the WorkZone Client user interface in Danish. If this field is empty, the value in the Name field is used.
- Name (de-DE) field, enter the name of the search rule which will be displayed when the user selects to display the WorkZone Client user interface in German. If this field is empty, the value in the Name field is used.
- Name (en-GB) field, enter the name of the search rule which will be displayed when the user selects to display the WorkZone Client user interface in English. If this field is empty, the value in the Name field is used.
- Click Save to save your changes and close the form.
Delete an Advanced PDF search rule
Search rules are deleted permanently and cannot be restored. If you delete a rule by mistake, you will have to create the rule again.
- In WorkZone Configurator > PDF > Search rules > right pane, hover the mouse over the
preview button on the search rule you want to delete and click Delete to open the Delete Search rule dialog.
- In the Delete Search rule dialog, click Delete to delete the selected search rule.
