Automatic deletion of cases and documents
You can configure WorkZone to automatically send cases and documents with expired retention periods to the recycle bin and, after a predefined grace period, permanently delete them, without any user interaction or initiation. WorkZone contacts cannot be automatically deleted.
Automatic deletion of cases and documents are parameter settings of the retention policy assigned to cases and documents and you can therefore create retention policies without automatic deletion and retention policies that contain automatic deletion.
WorkZone items that are automatically sent to the recycle bin can be restored manually if necessary. Cases and documents to be deleted permanently can be displayed in specific lists in WorkZone Client and can also be manually restored from the recycle bin.
All deleted items can be tracked in the WorkZone Deletion log, which provides a log listing of all delete actions performed in WorkZone, including automatic deletions.
The WorkZone job (ScanJour.AutoPurge.exe) that performs the automatic deletion of case and documents in the recycle bin is a scheduled task on the WorkZone server and by default runs once every 24 hours. You can adjust the job to run more frequently or less frequently as well as set the time when the job is scheduled to run, customizing the automatic deletion process to the organization’s requirements and work schedules.
Important: Items deleted from the recycle bin are deleted permanently. Items that are permanently deleted cannot be restored.
