Manage document versions

Document versioning allows you to track changes and to restore previous versions of a document. Versioning applies only to draft documents, such as documents with the states UÅ (Draft) or UP (Personal draft).

When you create a document is saved, it is saved as the first version. If another user edits and saves the document, the changed document becomes version 2. If you want to view the document before the changes made by the other user, you can download and open the previous version, make changes to the document and saving it as version 3.

Note: Versioning must be enabled for your organization before you can use it. A WorkZone administrator can enable or disable versioning in WorkZone ConfiguratorDraft versioning.

View document versions

  1. Select the document whos previous versions you want to view, and click Open.
  2. On the Document page, click the Activities tab and navigate to the Versioning section.
  3. Click the document title of the version to view the document in the preview pane.

Download and open a previous version

  1. In the Versioning section, select the version that you want to download,
  2. Click Download. The document is downloaded and you can open it locally.
Tip: You can also download document from the preview pane.

Restore a previous version

Prerequisite: You must have the write access to the document that you want to restore.

You can restore a version of a document to make it the current version.

  1. In the Versioning section, select the version that you want to restore.
  2. Click Restore. The selected version becomes the current version.

When you restore a document version, a copy of that version is created and it becomes the current version. The previouis version cannot be restored again as long as it is the current version.

Tip: You can also restore a document from the preview pane.
