Work with WorkZone Archive

If your organization uses WorkZone Archive, you can access cases and documents stored in your WorkZone Archive (that is, an older database with historical data). See About WorkZone Archive for more information.

Prerequisite: Your WorkZone administrator must enable the Archive feature in WorkZone Configurator (Global > Feature settings > Client > Archive), and create and configure the WorkZone Archive database.

  • Cases and documents from WorkZone Archive are indicated by the archive badge (for example, or ).
  • You can search for cases and documents in WorkZone Archive and preview their details directly from the search results, or go to the needed case or document detail page.
  • For documents, you can also:
    • Import documents from WorkZone Archive to the existing WorkZone cases.
    • Preview a PDF version of the document.
    • Open the document in a corresponding program.
    • Download the documents as single files.

Search in WorkZone Archive

Searches in WorkZone Archive work like regular searches in WorkZone Client:

  • You can search for cases and documents in WorkZone Archive on the relevant search pages, and save your own customized searches that can be distributed to and run by other users.
  • You can change your search criteria and save the search again to update the original search. You can also save a search under a new name to create a new saved search.
  • You can configure the Archive Case search and Archive Document search pages in the same way you configure pages for regular case and document searches. See Configure a search page.
  • From your search results, you can preview the metadata of a case or a document from WorkZone Archive, or go directly to that case or document detail page. For documents, you can also preview the document PDF version via the Previewbutton on the detail ribbon.
  • Cases and documents in WorkZone Archive might contain less metadata than the regular WorkZone cases and documents.

Import an Archive document to a WorkZone case

  1. Open the detail page of a document in WorkZone Archive. See Search for a document.
  2. In the ribbon, click .
  3. In the Import document dialog:
    1. Select a WorkZone case in the Import to case field.
    2. Optionally, select Archive documents on a new case, if you want to save them on the selected WorkZone case with the ARK - Archived state.
    3. Click Import. The document will be saved on the selected WorkZone case. Under its title, the imported document will have a link to the original WorkZone Archive document with the text "Originates from [link_to_Archive_document]".
